Job Summary:
Position Overview
You will manage project documentation and information flow for structural steel and modular projects—ensuring the right revision reaches the right stakeholder at the right time. The role controls drawings, models, specifications, RFIs/TQs, submittals, QA/ITP packs, certificates and O&M deliverables via the company’s EDMS (e.g., SharePoint/Aconex/Procore/Autodesk Docs). Working closely with Project Management, Engineering/Detailing, Production, Quality and site teams, you will maintain audit-ready records to ISO standards and support efficient delivery.
Key Responsibilities:
- EDMS setup & control: Create document control plans (registers, metadata, numbering, workflows, permissions).
- Drawing/model control: Receive, check and issue IFC/IFD/As-built drawings and models; quarantine superseded revisions; keep the live set visible.
- RFIs/TQs & submittals: Maintain logs, track due dates/responses, escalate overdue items; issue weekly dashboards to the PM.
- Fab & site coordination: Release fabrication drawings/NC/BoM outputs; notify Workshop/Site of changes and bulletins.
- QA & EN 1090 traceability: Manage ITP packs, material certs, WPS/WPQ, bolt/coating certs and test records; keep complete audit trails.
- Handover/O&M: Compile structured digital turnover— as-builts, certificates, manuals and warranties—per client requirements.
- Supplier/subcontractor docs: Collect data sheets and CE/DoP certificates; verify completeness and file correctly.
- Audits & NCR/CAR: Support ISO 9001/EN 1090 audits; maintain change logs; manage close-out evidence.
- Info security & GDPR: Control access/retention and ensure compliance with company policy.
- Training & support: Coach teams on EDMS use; produce quick guides; drive continuous improvement.
Skills and Experience (Required):
- 3+ years’ document control experience in construction/engineering (structural steel/offsite/M&E preferred).
- Confident with SharePoint, Aconex, Procore, Autodesk Docs/BIM 360; strong MS Excel.
- Solid understanding of drawing conventions, revision control, transmittals; able to read GA/detail drawings.
- Familiarity with EN 1090 documentation and QA traceability (ITPs, material/welding/coating certs) or willingness to learn quickly.
- Excellent attention to detail, organisation and deadline management; strong communication with internal/external stakeholders.
- Right to work in Ireland; occasional travel to the fabrication facility and project sites across IE/UK.
Desirable
- Experience compiling O&M manuals and digital turnover packages.
- Bluebeam Revu, Navisworks or Tekla Viewer for mark-ups/issue tracking.
- ISO 9001 internal auditor training; familiarity with ISO 45001/14001 documentation.
