Document Control Manager

ACC Platform & Document Control Manager

Purpose of the role

The role owns Autodesk Construction Cloud and digital construction implementation at ODS Engineering. The postholder leads its implementation across the company, trains and supports all ODS users, sets the procedures that govern its use, and runs document control for the business. Success means every ODS project runs its documents and key workflows through ACC, consistently and to a controlled standard.

Key responsibilities

  1. ACC platform administration
  • Act as ODS account administrator for ACC and the company’s subject matter expert.
  • Set up and configure projects, project templates, folder structures, naming conventions and permissions.
  • Manage users, companies, roles and licenses; carry out regular access and usage audits.
  • Configure Docs and Build tools: reviews and approvals, transmittals, issues, RFIs, submittals, forms, checklists, meetings and photos.
  • Track Autodesk releases and new features, and assess their value to ODS.
  • Act as first-line support and liaise with Autodesk or the reseller on escalations.
  1. Implementation across ODS
  • Develop and deliver a phased ACC implementation plan, agreed with senior management.
  • Run pilot projects, gather feedback and refine set-up before company-wide roll-out.
  • Migrate live and recent project information from existing systems into ACC.
  • Align ACC with other ODS systems (e.g. design tools, Microsoft 365, accounts, Power BI) where relevant.
  • Report progress, adoption and issues to management.
  1. Training and user support
  • Assess training needs by role: directors, project managers, engineers, site supervisors, office staff.
  • Design and deliver in-house training: group sessions, one-to-one coaching and site visits.
  • Produce quick-reference guides, videos and onboarding packs; induct all new starters on ACC.
  • Build a network of ACC champions in each team.
  • Keep training records and measure competence.

  1. Procedures and standards
  • Write, publish and maintain ODS procedures for ACC use, including document numbering, file naming, folder structure, status and revision codes, and approval workflows.
  • Align procedures with the ODS quality management system and, where required, ISO 19650 and ISO 9001.
  • Agree client- and project-specific requirements (e.g. BIM Execution Plans, information requirements) at project start.
  • Audit compliance and drive continuous improvement.
  1. Document control
  • Manage document control for ODS projects and company documents.
  • Maintain document and drawing registers, revision control and audit trails.
  • Issue and receive transmittals with clients, consultants and subcontractors.
  • Manage review and approval workflows and confirm the correct revisions are in use on site.
  • Control company documents: procedures, policies, forms and templates.
  • Compile handover, O&M and close-out documentation, and archive completed projects.
  1. Client and subcontractor access on live projects
  • Set up and manage ACC access for external parties on each live project: clients, design consultants, subcontractors and suppliers.
  • Agree access requirements with the project manager at project start and record them in a project access register.
  • Assign companies, roles and folder-level permissions so external users see and edit only what they need.
  • Separate ODS internal information (commercial, tender, internal reviews) from shared project areas.
  • Onboard external users with short induction sessions and quick-reference guides on uploading, naming, reviews, transmittals, RFIs and issues.
  • Set the rules external parties must follow, such as naming conventions, upload folders and response times, and include them in subcontract and appointment documents where relevant.
  • Monitor external activity and data quality, and follow up on non-compliant uploads or overdue responses.
  • Process access changes promptly when people join or leave, and remove all external access at project close-out or contract end.
  • Carry out periodic access reviews to protect ODS and client information and support GDPR and contractual confidentiality obligations.
  • Act as the first point of contact for external users’ ACC queries, escalating to Autodesk support where needed
  1. Reporting
  • Build ACC dashboards and reports on documents, issues, RFIs and submittals.
  • Develop Power BI or similar reporting for management where needed.
  • Report regularly on platform adoption, data quality and document control performance.
